Best ATS Resume Format: What Recruiters Actually Scan in 2026
The ATS Formatting Black Hole
An Applicant Tracking System (ATS) is software that reads, parses, and ranks resumes before any human sees them. Over 98% of Fortune 500 companies and 75%+ of all employers use one.
The problem: ATS systems are not sophisticated readers. They are pattern-matching engines tuned to extract information from well-structured text. If your resume uses a format the ATS cannot parse, your content becomes invisible — even if your experience is a perfect match.
This guide tells you exactly what format passes ATS parsing in 2026.
The Single Most Important ATS Format Rule
Use a single-column layout with no tables, text boxes, or graphics.
Everything else in this guide builds on this foundation. ATS systems parse documents left to right, top to bottom. Two-column layouts, sidebars, and decorative elements break this parsing and cause the ATS to skip content entirely.
Popular resume templates on Canva, many Word templates, and most "design-forward" resume builders produce ATS-incompatible layouts. They look great in PDF preview. They get your resume rejected by the ATS before a human ever sees it.
The ATS-Compliant Resume Structure
This is the order and format that maximizes ATS parsing accuracy:
1. Header
- Full name (no symbols or special characters)
- Phone number
- Professional email address
- LinkedIn URL (optional but recommended)
- City and State (not full street address — safety and parsability)
- Portfolio or GitHub URL if relevant
Do NOT use: columns in your header, tables, headers/footers (many ATS extract text from body only, not headers/footers)
2. Professional Summary
A 2-4 sentence paragraph immediately below your contact info. Label it exactly "Summary," "Professional Summary," or "Profile" — ATS systems are tuned to these exact headings.
3. Skills
Label this section exactly "Skills" or "Core Skills" or "Technical Skills." Use a simple, comma-separated list or single-column bullet format.
Avoid: putting skills in a graphical rating bar, visual proficiency scale, or two-column table. These fail ATS parsing.
4. Work Experience
Label exactly "Work Experience," "Professional Experience," or "Experience."
Standard bullet format:
- Start with an action verb
- Include quantified achievement
- Keep to one or two lines per bullet
ATS-safe date format: Spell out or abbreviate months: "January 2022 – March 2025" or "Jan 2022 – Mar 2025." Numeric-only formats (01/2022) can confuse some ATS systems.
5. Education
Label exactly "Education." Include:
- School name
- Degree type and major
- Graduation year (or expected graduation year)
- GPA if above 3.5 (optional)
6. Certifications
Label "Certifications" or "Licenses & Certifications." List each on its own line with the full certification name, issuing body, and year.
File Format: PDF vs. Word vs. Other
PDF: Safe for most modern ATS systems (Workday, Greenhouse, Lever, iCIMS). Save as text-layer PDF, not a scanned image PDF (which is completely unreadable by ATS).
Word (.docx): Universally ATS-compatible. Some older systems parse Word files more reliably than PDF. If a job posting specifically requests Word format, comply.
Google Docs exported to PDF: Usually fine.
Canva PDF, Photoshop, JPEG, PNG: Never use for ATS submission. Image-based formats are completely unreadable.
Figma, InDesign, or publisher formats: Same — not ATS-compatible.
Fonts, Sizes, and Spacing
Safe fonts: Arial, Calibri, Garamond, Georgia, Helvetica, Times New Roman. These parse reliably.
Risky fonts: Decorative, script, or uncommon fonts can cause character encoding errors in ATS text extraction.
Font size: 10-12pt for body text. 14-16pt for your name. Consistency matters more than the exact size.
Margins: 0.5-1 inch on all sides. Margins under 0.5 inches can cause text clipping in some ATS.
Line spacing: Single or 1.15x. Dense text is harder to read; excessive spacing wastes the page.
The Formatting Elements That Kill ATS Scores
Avoid all of these:
| Element | Why It Fails ATS |
|---|---|
| Tables | ATS reads table cells out of order or skips them |
| Text boxes | Invisible to most ATS parsers |
| Headers/footers | Many ATS only extract body text |
| Images, icons, logos | Binary data — no readable text |
| Two-column layout | Left column content often dropped or misread |
| Horizontal lines as graphics | Some parse as garbled characters |
| Progress bars for skills | No text — ATS sees nothing |
| Colored text | Sometimes parsed as blank depending on ATS |
The test: Copy all the text from your PDF resume and paste it into Notepad or a plain text editor. If the content reads in logical order with all information intact — your resume will parse correctly in most ATS systems. If it's jumbled, skipping, or missing content — you have an ATS formatting problem.
Section Headings: Use Standard Labels
ATS systems are tuned to specific section headings. Clever alternatives often fail:
| ✅ ATS-Safe | ❌ May Fail |
|---|---|
| Work Experience | Career Journey |
| Skills | My Toolkit |
| Education | Academic Background |
| Certifications | Credentials |
| Summary | About Me |
Standard headings are boring because they work. Save creativity for your bullet points.
How to Check Your Resume's ATS Compatibility
- The text paste test: Paste into plain text and check for logical order and completeness
- The Jobscan or MatchMyResumes test: Upload your resume and a job description to see your keyword match score — poor formatting often drops keyword extraction accuracy
- Email it to yourself and open on mobile: If it's hard to read, redesign for clarity
- Ask someone unfamiliar with your background to read it in 30 seconds: If they can't identify your top 3 qualifications, your format is obscuring your content
An ATS-optimized resume is the foundation of a successful job search. After formatting correctly, the next step is keyword optimization — matching your resume's language to the specific job descriptions you're applying to. MatchMyResumes helps you measure and improve both.
